BASE HOUSE TERMS & CONDITIONS

By attending classes, purchasing services, products or memberships, or accessing Base House facilities, you agree to the following Terms & Conditions.

About Base House

Base House is a boutique fitness and wellness studio located in Birkdale, Queensland.

These Terms & Conditions apply to all members, casual clients, introductory offer holders, visitors and guests.

1. HEALTH & SAFETY

By participating in any class, program, workshop or service provided by Base House, you acknowledge that:

  • You are physically capable of participating in exercise.

  • You understand that exercise carries inherent risks.

  • You participate voluntarily and at your own risk.

  • You will inform instructors of any injury, illness, pregnancy or medical condition that may affect your participation.

  • You are responsible for monitoring your own physical condition during classes.

Base House reserves the right to refuse participation where it believes attendance may place the client or others at risk.

2. BOOKINGS

All classes must be booked through the Base House booking system.

Bookings are subject to availability.

Payment must be made before attending a class unless otherwise agreed by Base House.

Base House reserves the right to amend class schedules, instructors, services and operating hours at any time.

  • Studio Access

Base House reserves the right to refuse entry or participation to any person who:

  • Appears to be under the influence of drugs or alcohol.

  • Displays aggressive, abusive or inappropriate behaviour.

  • Fails to comply with studio policies or instructor directions.

  • Presents a safety risk to themselves, staff or other members.

3. CANCELLATIONS & NO SHOWS

To cancel a class without penalty, bookings must be cancelled at least 9 hours before the scheduled start time.

Cancellations made within 9 hours of the class start time are considered a Late Cancellation.

Failure to attend a booked class is considered a No Show.

The applicable consequence of a Late Cancellation or No Show will depend on the membership or pack purchased and may include:

  • Loss of a class credit

  • A late cancellation fee

  • A no-show fee

Current fees and policies are outlined in the relevant membership or package agreement.

Base House does not accept cancellations via social media, text message, phone call or email.

All cancellations must be processed through the booking system.

4. WAITLISTS

Clients may join a waitlist when a class is full.

If a position becomes available, clients may automatically be moved into the class and notified via email, SMS or app notification.

By joining a waitlist, you agree to attend the class if a position becomes available.

The standard cancellation policy applies once a booking has been confirmed.

5. CLASS PASSES & PACKAGES

Class passes and packages:

  • Are non-transferable.

  • Cannot be shared between individuals.

  • Are not redeemable for cash.

  • Are non-refundable except where required by Australian Consumer Law.

  • Must be used within the validity period specified at purchase.

Unused classes expire at the end of their validity period unless otherwise required by law.

Extensions may be granted at the discretion of Base House in exceptional circumstances.

6. MEMBERSHIPS & MEMBERSHIP AGREEMENTS

Membership terms may vary depending on the membership selected.

Membership details, inclusions, billing frequency and cancellation requirements are outlined at the time of purchase.

By purchasing a membership, you authorise Base House and its payment provider to process recurring payments according to the selected membership agreement.

Memberships may be subject to future price adjustments. Members will be provided with reasonable notice prior to any pricing change.

7. PAYMENT PROCESSING & MERCHANT FEES

Membership fees and other recurring payments are processed by Base House's nominated payment provider.

Prices, membership inclusions and applicable fees are displayed at the time of purchase and may change from time to time. Members will receive at least four (4) weeks' written notice of any change to membership pricing.

Our payment provider may charge transaction and processing fees in addition to your membership payment. Current fees (which are set by the payment provider and are subject to change) include:

  • Bank Account Direct Debit: $1.07 per transaction

  • Visa & Mastercard: 2.19% of the transaction amount

  • American Express: 4.39% of the transaction amount

  • Failed Payment Fee: $3.85 per failed transaction

These fees are charged by the payment provider and are separate from your membership fees.

If a scheduled payment is unsuccessful, any applicable failed payment fees, merchant processing fees and outstanding membership fees may be charged to your nominated payment method.

Members are responsible for ensuring their payment details remain current and that sufficient funds are available on the scheduled debit date.

Base House reserves the right to update payment providers or payment processing arrangements at any time. Any applicable transaction fees charged by the payment provider may change without notice and will apply as determined by the provider.

8. MEMBERSHIP PAUSES

Membership pauses are available depending on the membership type and do not apply to pack sales. Membership pauses are available for a minimum of one (1) week and a maximum of six (6) weeks within any rolling twelve (12) month period. 

Requests must be submitted in writing to Base House one week prior to the requested pause date.

Membership payments will resume automatically at the conclusion of the approved pause period.

9. MEMBERSHIP CANCELLATIONS

Membership cancellation requests must be submitted in writing.

Any required notice periods and minimum terms will be outlined within the membership agreement selected at the time of joining.

Membership fees remain payable throughout any applicable notice period.

10. STUDIO ETIQUETTE

To ensure a positive experience for all clients:

  • Arrive on time for your class.

  • Follow instructor directions.

  • Respect other members and staff.

  • Use equipment safely and appropriately.

  • Wipe down equipment after use where requested.

  • Members must wear grip socks for all Reformer Pilates classes unless otherwise advised by Base House.

Base House reserves the right to refuse entry or terminate memberships where behaviour is unsafe, disruptive, abusive, offensive or inappropriate.

11. PERSONAL PROPERTY

Clients are responsible for their own personal belongings.

Base House accepts no responsibility for loss, theft or damage to personal property brought into the studio.

12. PHOTOGRAPHY & MARKETING

From time to time Base House may take photographs or video footage within the studio for promotional purposes.

If you do not wish to appear in marketing material, please notify our team in writing.

We will make reasonable efforts to respect your preferences.

13. LIABILITY WAIVER

To the fullest extent permitted by law, Base House, its owners, employees, contractors and instructors are not liable for any injury, illness, loss, damage or expense arising from participation in classes, use of facilities or attendance at the studio.

Nothing in these Terms excludes rights that cannot be excluded under Australian Consumer Law.

14. PRIVACY

Base House collects personal information for the purpose of providing services, managing memberships and communicating with clients.

Information will be handled in accordance with our Privacy Policy and applicable Australian privacy legislation.

15. CHANGES TO TERMS

Base House reserves the right to amend these Terms & Conditions at any time.

The most current version will always be available on the Base House website.

Continued use of Base House services constitutes acceptance of any updated Terms & Conditions.

16. CHILDREN IN THE STUDIO

Base House welcomes families and understands that childcare can sometimes be a barrier to movement and exercise.

Children may accompany a parent or guardian to the studio subject to the following conditions:

  • Children remain the sole responsibility of their parent or guardian at all times.

  • Children must remain in designated waiting or seating areas and must not enter the workout space during classes unless expressly permitted by the instructor.

  • Children must not use studio equipment, weights, reformers, resistance equipment or other fitness equipment.

  • Parents must ensure their child behaves in a manner that does not disrupt classes or create a safety risk for other clients.

  • If a child becomes distressed or disruptive during a class, the parent may be asked to step out of the class temporarily.

  • Base House reserves the right to refuse attendance where a child's presence creates a safety concern or significantly impacts the experience of other members.

Base House accepts no responsibility for the supervision, care, injury or wellbeing of children attending the studio.

17. HOT MAT & HEATED CLASSES

Base House may offer heated classes including Hot Mat Pilates, Yoga and other wellness or fitness services conducted in elevated temperature environments.

By attending a heated class, you acknowledge and accept that:

  • Exercise in heated environments may place additional stress on the cardiovascular system.

  • You are responsible for ensuring you are medically fit to participate.

  • You will remain hydrated before, during and after class.

  • You will immediately stop exercising and notify the instructor if you experience dizziness, nausea, light-headedness, chest pain, unusual discomfort or any adverse symptoms.

Participation in Hot Mat Pilates and other heated classes is not permitted for clients who are pregnant, have cardiovascular conditions, respiratory conditions, heat sensitivity, or any other medical condition that may be adversely affected by exercise in a heated environment.

If you are unsure whether a heated class is suitable for you, please contact Base House prior to booking.

Base House reserves the right to refuse participation in any heated class where it believes attendance may present a risk to the health or safety of the client.

Participation in heated classes is entirely at the client's own risk.

18. INFRARED HEATING

Certain classes at Base House may utilise infrared heating technology.

Infrared heat differs from traditional heating systems by warming the body directly rather than heating the surrounding air.

While many clients find infrared heat comfortable and beneficial, individual responses may vary.

By participating in classes utilising infrared heating, clients acknowledge that they understand the nature of infrared heat exposure and voluntarily assume any associated risks.

Clients with existing medical conditions should seek advice from an appropriately qualified healthcare professional prior to participation.
